An interesting paper prepared by Allen Gunn (Director, Aspiration Tech) entitled "Creating Participatory Events": https://aspirationtech.org/files/AspirationCreatingParticipatoryEvents.pdf. The paper is from 2008 (too old), but it talks about best practices for making an event participatory and is a reflection of a similar event. I would recommend reading sections 3 and 4.
