Investigate digital signatures and electronic postbox using Kivra
Closed, ResolvedPublic3 Estimated Story Points

Description

Kivra offers electronic signing of contracts (using BankId). We should investigate if this is a possibility for the various contracts we send out and recieve.

Kivra also offers an electronic postbox for organisations. Various Swedish governmental agencies (e.g. Skatteverket, Collectum) would then dend electronic mail to that instead of paper mail to us. Switching to this would both be safer and in line with our Environmental Policy.

Event Timeline

Wikimedia Foundation is using DocuSign. I have signed an agreement with them and it was fast and easy.

It is a subscription service that cost 25 USD/month per user, but they have a discount for NGOs that might be possible for us. We should talk with Techsoup Sweden about it. https://www.docusign.com/solutions/industries/nonprofit

Information about the legality of digital signing in Sweden can be found here: https://www.docusign.com/how-it-works/legality/global/sweden

In short, pretty much okay for all our needs, except regarding an "employment termination notices (Sec. 10, 20 and 38 Employment Protection Act (Sw. Lag om anställningsskydd))" where a paper or registered letter is needed.

Docusign has a Techsoup.org donation program but it does not seem to be available through Techsoup Sverige.

Note that docusign does not solve the elecrronic postbox issue. In Sweden Kivra is likely the only option if we want that.

I have mailed Techsoup Sverige and asked them if Docusign will be added to their donation program.

Since this was created we decided to go with Scrive for digital signatures.

Are we still considering an electronic postbox using Kivra? @Jopparn @Jenny_Brandt_WMSE

@Lokal_Profil It could be worth looking into again, maybe when we will evalute scrive: See this task:

@Jenny_Brandt_WMSE: Since task T271691 was closed, should this be considered to be finalized? I.e. that we won't use Kivra?

Or I would think it might be worth having it just to get the document digitally?

An electronic inbox might still be worth considering. Getting the documents digitally allows us to both save on post handling and scanning. Should also make it easier to follow up on some of these documents when away from the office, There might even be some small environmental impact.

I agree. If Jenny hasn't seen any direct problems already we should prepare for it.

Lokal_Profil claimed this task.

I've set up T305610: Kivra account for WMSE for the continued discussion around that. With that this task can be resolved
