I've forwarded a suggestion for a template to the info-address (including temporary but somewhat relevant headings).

Mailchimp has limited the number of audiences allowed with a free account to one. We have more than one audience because we created them before this limit was set. Mailchimp recommends having one audience and maintaining it by using tags or segments. We might want to delete some of our old audiences later on. For now, I used an old test audience and renamed it Wikimedia Sverige Nyhetsbrev and imported e-mail addresses to this. I've added the tag Nyhetsbrev to all audience members and the tag Test to some employees at WMSE.

The e-mail addresses imported are from Zynatic, from a search for Privatpersoner and a search for Organisationer. For Privatpersoner e-mail address, first name and last name was imported. For organisations, organisation name was imported as last name (the same way we handle it in Zynatic). The audience in Mailchimp contains 548 contacts, of which some employees at WMSE are duplicates because I added people with the tag Test manually with their work e-mail address, and they have their personal e-mail address in Zynatic.

Would this be a link to the sign-up form or an embedded form in our Wordpress? Asking in relation to T227740: Web form: add information about management of personal data

Is one of them preferable?

If we choose the latter then we need to make sure our phrasing around forms on our webpage encompasses this (current suggestion doesn't).

If we choose the former then it depends on how such a page looks. Does it no longer feel like a WMSE page?

On Mailchimp
One option is to link to the sign up form. It's just a form, so it doens't look like our website, but it doesn't look like another website either.
Another option is to create a landing page, which gives us more options, like adding pictures.

On wikimedia.se
We can embedd a form, Mailchimp let's us create a form and copy the code.

So a landing page on mailchimp.com?

I'm unsure of which way to go on this. Having it on our website is probably the nicest. From an Privacy Policy point of view this means:

  • If the form (reliably) sends the data directly to Mailchimp (without anything being stored in Wordpress) then it should be ok if we have a tickbox which clearly states that filling out the form will interact with Mailchimp and be subject to their Privacy Policy, while our usage of their provided data is goverend by our Privacy policy.

I Broke out the documentation to a subtask since that is non-blocking
