Wikimedia Hackathon 2019 volunteer group: Technical help desk
Closed, ResolvedPublic

Description

This is a task to collect ideas and progress from the group of volunteers who agreed to staff the technical help desk at Wikimedia Hackathon 2019 in Prague.

Technical help desk: take a physical shift at the technical help desk, which is a location where newcomers and those that need technical help can come and ask their questions.

Details and a point of contact for this group will be identified in advance of the event.

Event Timeline

@debt a few notes:

We will be creating a "helpers" telegram group which mentors and newcomer friendly project owners will be in - folks at the technical help desk should consider joining as well! Once we have the link created I will post it here.

We will also be physically putting the technical help desk in a location near the skill-share board and project poster area.

I find that its helpful to write some instructions/notes on the technical help desk with things people can do if no one is actively needing help. Things like: watch @wmhack on IRC to see if anyone is asking questions there, organize the skill-share board, actively approach anyone looking like they need help, encourage someone to sign up for the hackathon showcase, whatever else we come up with. :)

Also use this task as a place to capture ideas for how to improve the technical help desk next time - here is an example: https://phabricator.wikimedia.org/T168751

Email was sent off today to the folks that indicated they'd be open to helping out (when they registered). Here's the contents:

Hello everyone,

Thank you for expressing interest in volunteering to help out at this year’s help desk at the Wikimedia Hackathon 2019 in Prague!

The help desk will be at table located in the main hacking space (near the skill-share board and project poster area) where any participant can come and ask for technical or logistical help. This help desk will be open between 10:00 - 17:00 Friday and Saturday; 10:00 - 14:00 on Sunday (ending shortly before the closing showcase).

Things in general that we’d like all volunteer helpers to do:

  • monitor the “helpers” telegram chat group: http://t.me/Wmhack19help
  • watch the @wmhack channel on IRC
  • help keep the skill-share board organized
  • actively approach anyone looking like they need help
  • encourage folks to sign up for the Hackathon showcase (Sunday afternoon)
  • ...and whatever else we come up with :)

As a help desk volunteer, there are varying levels of help that you can provide:

  • Sign up in advance for a two hour time slot to be at the help desk. This will ensure that we have at least 1-2 people there at any time.
  • Show up at the help desk randomly throughout the event when you feel like taking a break or notice that only one or two people are there or that there are lots of folks waiting to talk or get help. You can still work on your own hacking project but you may be interrupted. No need to sign up in advance for randomly stopping by.
  • Be on a short list of people that the help desk folks can contact when someone shows up and needs a bit more support. You may not be contacted at all, or you may be interrupted at some point and introduced to a person with a project. Your job will be to talk with them and help them determine where they should focus their energies and / or who they should meet. Or just take them to sit with you and help out!

Three actions for you:

  1. Take a moment to sign up for option 1, 2, or 3 here (you can sign up for more than one!): https://docs.google.com/spreadsheets/d/1wrsQ7wnBylyavhq1YmC1xAMytWYbHWw6_AhZ-7UK6pQ/edit?usp=sharing
  2. Subscribe to the help desk Phabricator task to coordinate efforts: https://phabricator.wikimedia.org/T219202
  3. Sign up for our “helpers” Telegram chat group where mentors and newcomer friendly project owners will be conversing. Link to group: http://t.me/Wmhack19help

Thanks so much for your help!
