The first phase/etapp report has to be filled in and submitted to unlock the next round of funding.
Since this is the first one it would be good to set up a checklist which can be reused for later reports.
Draft checklist:
- Make a copy of the template phase report
- 2.1-2.2 Progress
- Add all deliverables listed in the Etapp-/Budget addendum for the current phase
- Add any leftover deliverables reported in the last Phase report
- Gauge the completion of each deliverable and make notes of any deviations
- 2.3 Financials
- Make a copy of the budget addendum handed in with the last phase report
- Lock the tab for the current phase
- Add a cost calculation tab
- Request the latest cost/worktime estimates from KTH and STTS and add the data to the tab
- Do an accounting excerpt for WMSE-costs since last phase report, also do one for the period of the last report to compare any differences due to estimates [need to ask PTS in which phase to stick the difference.
- Get the number of hours worked (per WMSE person) for the current month, estimate costs based on this.
- Calculate KTH/WMSE overhead costs based on reported hours
- Distribute hours/costs per budget line (of the current phase) based on work done and completion estimates in 2.1-2.2
- Based on the above distribution calculate any funds remaining (per budget line) and add to the next phase (add a new line if any entries are not present in the next phase. [Check with PTS about new line per activity or per deliverable]
- Per organisation split the spending by PTS and own financing
- Add the summary to the phase report, even out and differences due to rounding.
- 2.4 Events
- Collate old monthly reports to find highlights
- 3.1 Upcoming events
- Make a note of any planned upcoming events
- Make a special notes of any new events not in the last plan
- Add any newly planned events to the Budget addendum
- 3.2 Risk analysis
- Add any newly identified risks
- Re-evealuate the existing risks
- Update list of any preventive measures taken
- Share link to phase report with collaborators
- Add it to the index
- Handle any feedback
- Send report to PTS
- Create task for next phase report
