Revise physical component of Diarium

Description

Our Diarium instructions today say that it exists in both a digital and a physical form and that the two are expected to contain the same contents (with some minor exceptions).

The expectation is therefore that all digital documents be printed out and added to the folders. In reality there is a big backlog when it comes to this component where digital documents have not been added to the physical Diarium since 2020.

In view of the facts that a) most of our documents are now digital to start, b) the digital archive being the more convenient place for finding the documents and c) printing out documents without any intention of using them not being in line with the spirit of our Environmental policy I suggest we revise our stance around the physical Diarium.

A suggestion is that:

  • Documents with a physical original be scanned and added to both the digital and physical archives.
  • Documents with a digital original are only added to the digital archive.
  • The tables on the wiki be modified to make it clear that "Finns i" is only rarely expected to be filled in.

@Jopparn What I don't know is if there is a legal or historical reason for the physical archive.

Historical reason at least. Not sure if there is a legal demand for it (anymore?). Could you reach out to Opad about this?

Wrote an e-mail to Opad. If they don't have any knowledge of legal requirements around this then I think it's safe to move forwards with the above recommendation.

Opad got back to us. Out of the category of documents that we now store in our Diarium they highlighted the following.

Avtal omnämns som bokföringsmaterial men med tillägget att det ska sparas i minst 7 år efter avtalets utgång, och allra helst i 10 år eftersom de ibland kan åberopas längre. Så jag skulle säja att de också sparas i den form de mottas, och vid behov 10 år efter utgång, men minst 7 år efter utgång.

Based on this I'd say that there is no need to store any of the documents we originally get in digital form in the physical diarium. While some of the relevant physical documents we receive could conceivably be scanned and then discarded it is probably safer (considering the low volume of physical documents) to scan all of these for the digital diarium but also keep the physical copy in the physical diarium.

I've updated the recommendations in the description (removed the ambiguous "print out exceptionally critical documents").

The notes on Diarium/2021 should be updated to reflect which documents are/need to be added to the physical diarium
