Office Hours and Research Showcases
Closed, ResolvedPublic

Description

Work with comms team to increase communication of our events and align topics with broader relevant themes in the community; act upon feedback from office hours survey to improve impact and attendance

Event Timeline

Finalized two speakers for June showcase; identified topics and potential speakers for July, September, and October Showcases

Advertised May office hours; had conversation with Giselle about how to make office hours more welcoming to community members in Latin America

thanks for your work. are there particular changes that you recommend or barriers that you have identified?

On a potentially related note: Now is a good time to do an assessment of the office hours and make a decision about whether we want to make some changes in them and experiment a new model starting June 2022 or afterwards.

An immediate change we can make is to advertise sessions that can be held in non-English languages.

More involved changes we can consider include:

  • Extending the reach of our advertising, e.g., to Telegram and Discord
  • Writing a Diff post that explains what office hours are, who the intended audience is, and the types of topics / questions we cover
  • Hosting some thematic sessions, e.g., we could host a session dedicated to knowledge gaps to showcase the recently released white paper
  • Hosting 2 sessions per month - one that is in the evening for the Americas and morning in Asia / Oceania and another that is mid-day for the Americas and evening for Europe / Africa, but making them shorter (say, 30 minutes). People may get confused with the time changing monthly and may attend more regularly if the session times are more consistent.

Thoughts?

Shared the above ideas with Leila and summarized these proposed changes into a 1-pager that will be reviewed by Leila and the team. The goal is to include the changes we agree upon in the June research newsletter and implement by the start of Q1.

Finalized the time of the June Research Showcase (11AM UTC) and am in communication with IT about how to get views of showcase videos broken down by country.

Wrote methods for formally evaluating these two programs - these analyses will be carried out this summer by our intern.

Revised one pager with proposed changes to office hours.
Decided on speakers to invite and theme for July showcase.

Held May Research Showcase. Pulled and analyzed YouTube analytics for past Showcases.

Secured topic and speakers for July Showcase. Invited speakers for October Showcase.

Sent emails advertising June office hours.

Held June office hours. Uploaded Showcase abstracts to MediaWiki and advertised internally and on listserves

Worked with the Privacy team to create a media release form for speakers

During Q4, we hosted monthly office hours sessions at alternating times to welcome attendees from around the globe. We also hosted Showcases in May and June (we skipped April due to Wiki Workshop). In June, we featured our first speaker from Korea and it was the second session held at an earlier time than usual due to the speaker's location. I also worked with the privacy team to develop media release and privacy statements for speakers, which we will implement during Q1.
