Civi - Event Activity Update

Description

I am requesting several new activity types for Civi CRM. These new activities will help the Major Gifts team more accurately track the purpose of donor-facing events. Tracking long-term outcomes of cultivation vs. stewardship events is critical to developing strategies to move major donors along the fundraising pipeline and inspire increased annual giving.

New feature - additional Civi activity types:
• Event - Cultivation Dinner
• Event - Cultivation Reception
• Event - Endowment Cultivation Dinner
• Event - Endowment Cultivation Reception
• Event - Virtual
• Event – Hybrid

In addition to these new activity types, I would also like to request a new drop-down menu feature on the activity record. Adding this static menu will reduce reliance on free text entry in the location field. While this field is still important to note the physical location of events, it is possible the text entered in this field could be inconsistent year-to-year (example: in-person / In Person / In-person). The free text field cannot be filtered. Adding the drop-down menu will provide an additional way to filter search results.

@JSimmons We should discuss this at Civi-fortnightly. Creating activity types is pretty easy so we could do that part in the meeting

Hi @Lars! Thank you for reaching out about this task. Yes, we are still interested in adding these fields to Civi activities. There are a few updates:

The following are no longer needed:

  • Activity type: Event - Hybrid
  • Event type fields: Meeting, Hybrid

Regarding the event type, I'm wondering if this basically replicates the info that is already inherent in the activity type (in which case we might want to avoid storing the info twice because it can become inconsistent)? Are there "Event - " activity types that could be either in person or virtual or is each activity type always one or the other? My guess is Event - Special could be either and the others would be in person, except Event - Virtual. If that's the case, let's discuss where this would be searched and go from there.

Note also that in T381535: Meeting type fields on MG activities there is proposal to add a custom field with Call, In-person and Virtual types for meetings. Maybe we could add Hybrid to that option list and then use the same field for both events and meetings? I'm not clear on what Meeting is in this context though, would that be a separate type from In-person?

Hi @Lars - I understand your comment about duplicating information. With these new activity types (particularly event - virtual) I think we're all set as far as our reporting needs. I've already used some of the new activity types for FY2526 events, thank you!

The other task you linked to (T381535) relates to meetings that Major Gift Officers have with individuals and/or foundations that are separate from events. These meetings are often conversations about the work of the foundation or other stewardship opportunities, not a direct fundraising ask. The Gift Officers do conduct these meetings in a variety of formats (virtual, in-person, and hybrid). I believe they track metrics on the number of each type of meeting. Desiree may be able to provide additional clarification.

Thanks @JSimmons. If in the future you do want those event type fields (virtual, in person, etc) for these major donor events as well, it would be very easy to extend what we'll have done for the meetings (as long as we want the same list of options).
