Can we please add our vendor to Google Postmaster Tools
Closed, ResolvedPublic

Description

In order to monitor our spam rate and deliverability we would like to add this user from our vendor Trilogy to our Postmaster Tools. Can we give access to Google Postmaster Tools to this user: trilogy-hub@trilogy-hub-268119.iam.gserviceaccount.com

Event Timeline

@DBu-WMF Hi, we are discussing how to proceed, as handling postmaster access is a new process for us.

The first question is what domain you want email from?

Second, we need to discuss the consequences of providing access to an external, non-WMF vendor, with unknown (to us at the moment) guarantees- that's not impossible, but usually legal is involved and requires some specific and strong contractual conditions.

In terms of the technical staff, maybe @Jgreen can talk to you directly on the fundraising side as a local SRE liaison, if it is related exclusively to fundrising (it is unclear on the request).

Fundraising campaign mailings and donation receipts are sent using @wikimedia.org From: addresses, so that is the most interesting domain.

I think this is beyond our scope unless there is some way to separate Fundraising mail from the rest of @wikimedia.org mail. I can't think of a way to do that either with the dmarc reporting (access is requested in a separate task) or with postmaster tools.

Trilogy is not an unknown vendor to us. They have been assisting us with Banners and Emails for several years. They also manage our contract with our email service provider (Acoustic). Their role is to help us ensure that our campaigns are able to be delivered and will result in the best possible response from our donors.

The reason they would like to have access to Postmaster is in order to create a notification for us that will tell us when Google is flagging us for exceeding the threshold on the user reported spam rate. @bsisolak Please reply back if you feel there is more clarification you need to add.

We have access to Google Postmaster Tools, this is just with a new account that will allow us to send automated alerts based on a Spam Rate threshold, and alerts if Domain reputation changes or their are Delivery Errors.

I don't think SRE has ever administrated Google Postmaster Tools at all. In fact, a quick cross check in the team showcases almost utter ignorance of the product, although we 'll ask internally a bit more. May I suggest reaching out to ITS too?

BCornwall removed a project: SRE.
BCornwall changed the task status from Open to Stalled.Apr 23 2024, 8:04 PM
BCornwall subscribed.

What should we do with this ticket? If SRE is unable to administer postmaster tools and ITS is suggested as the ones to contact, can this be closed?

Hi All, as per @akosiaris suggestion (and confirmed by @jhathaway) I reached out to ITS - @NMariano-WMF has just confirmed the above email address has now been added. @bsisolak please confirm this account has the access you need!

BCornwall claimed this task.

Thanks!
