weekly updates:

  • Call for papers T378490: after publishing the CfP, I did a first wide round of advertising in mailing lists etc. Will continue in the next weeks with some individual posts/reminders. But will mark the task around the CfP closed.
  • Reviewers for program committee T382240: Put together a shortlist of roughly 200 potential reviewers who have interacted with Wikimedia Research in the recent past. Next step will be to start send out invitations for reviewing.
  • created two new subtasks for later in Q3/Q4: T383222 for running the review process and T383224 organizing the program/sessions for the research track

  • we received 64 submissions for Wiki Workshop; all of them will be considered for review
  • we opened bidding for reviewers. so far, we have a response rate >80% (with still some time left for reviewers to enter bids)
  • Next: generate review assignments based on bids and send to reviewers

  • received bids by 90% of reviewers. this makes the reviewer-submission-matching much easier.

  • 30.95% of assigned reviews have been submitted (deadline: April 7)

  • All submissions received at least three reviews. I examined each and drafted recommendations.
  • Matt and I will meet next Monday to finalize decisions based on consensus. After that, @KinneretG and I will connect to send out notifications.

  • PC Chairs met on Monday to finalize decisions based on consensus: 48/64 submissions (75%) have been accepted.
  • With @KinneretG's support, notifications were sent out to all authors on Monday.
  • A proposal for organizing the accepted submissions into topical sessions has been shared with @leila and Bob (General Chairs).

  • Topical sessions have been organized into three slots based on the approximate schedules shared by @leila and the estimated location of the first author of each accepted contribution (note: no perfect distribution is feasible).
  • Tentative candidates for session chairs have also been identified.

  • Now that the schedules are confirmed, invitations have been sent to candidates for session chairs.
  • An internal message has been shared with RDS colleagues requesting volunteers for streaming pre-recorded talks.
  • A meeting with @KinneretG has been scheduled for early next week to discuss next steps, e.g., further information to share with authors.
  • Matt and I will also meet next week to discuss next steps, e.g., the instructions to share with session chairs once they have accepted the invitation.

    • Instructions have been sent to session chairs
    • A session chairing script has been drafted to be shared next Monday.
  • All volunteers for streaming pre-recorded talks have been recruited.
  • All details are documented in the spreadsheet that has been shared with the presenters.

  • Wiki Workshop was held this week, including the 10 sessions of the Research track.
  • Talks by the designated presenters who attended Wiki Workshop were streamed, and they were able engage with other attendees during the Q&A and the final discussion.
  • A feedback request has been sent to session chairs and streamers to collect any incidents (e.g., audio issues during streaming), which will be used in the retrospective session of the Wiki Workshop organizing team (to be scheduled).

As the Research track of Wiki Workshop is complete, this ticket will be resolved.
