Raise awareness about the admin research project results within the research community

Description

The goal of this task is to share the results of this project more broadly. To so so, we will prepare a submission to CHI '26 and submit to arxiv.org.

This task includes the following items:

  • CHI '26 submission (Abstract deadline: Sep 4; Full paper deadline: Sep 11)
  • arxiv.org submission (Please see 7 Nov update for latest information)
  • (new Nov 10) Revise CHI'26 submission per reviewers feedback and resubmit (RoR deadline: Dec 4)

Update:

  • We've decided to go with the plan to prepare a submission for CHI'26.
  • We also plan to submit to arxiv.org ahead of that time pending confirmation of no limitations from CHI policy in doing so (TBC).
  • Plan is for @cwylo to take on a large portion of writing tasks needed for these submissions and move to first author position in light of that work. Eli will move to final/principal author position for these submissions noted above.

Some high-level drafting notes as we move forward:

  • For the submission, we have a lot of material to lean into from the final report; however, the submission will require a high level of conciseness, and for this we can take inspiration from some of the recent sharing we've done around the work, through which simpler, shorter overarching narratives have arisen.
  • We will need clearly separated results and discussion sections.
  • There's a need to further situate the work in related literature; this will require some amount of new drafting work.

For at least the first part of Q4, I've reassigned this task to @cwylo since she'll be leading the heavy lifting of drafting.

@cwylo , regarding timing and coordination, looking ahead, would you be able to share a first draft by 23 May?

Update: We've pencilled out a timetable and the major writing tasks necessary to get this submission ready. The task description will be updated with a breakdown of tasks and a rough timetable.

In terms of the approach to this paper, we will need to significantly reduce the length of this paper, moving many of the tables and charts to an appendix or similar. I think there are two approaches here:

  • Option A: cutting exercise, where we take the existing report and cut down what wouldn't fit in a CHI submission. Might be faster and simpler, but less likely to be logically/structurally tight.
  • Option B: we draft an alternative version, built around the narratives we’ve used before for e.g. the Research Showcase, and use the existing report to "fill out" this re-written structure. This is likely to require more writing hours, but produce a more structurally sound submission.

I believe that Option B is the better one and will work to create a draft to that effect.

I'm just curious what 'contribution type' you see this as, of the CHI Contribution types? Is it "Understanding Users"? In case you haven't seen it, this page goes over things that are important to include for each contribution type! https://chi2025.acm.org/contributions-to-chi/

@DKumar-WMF , I think 'understanding users' is probably where this would fall unless you or others see another category that could be as natural a fit.

Update: We've been revisiting the initial rough timeline that @cwylo added to the task description. It is likely that, given other constraints and folks time to work on this, we're going to need to modify that timeline some. This may involve identifying a few sections that we focus on for work by 30 June. Fortunately, updating this timeline to include some portion of work past June shouldn't affect the overall goal of this task given that the CHI submission deadline won't be until approximately September, and the arxiv.org submission is not time-bound. We will update the task description with an updated timeline in early-mid May.

Update: Given priorities and demands of work this quarter, I discussed with @cwylo yesterday what we might reasonably accomplish this quarter for this work. I updated the task description based on this conversation, including approximate due dates for the items we plan to achieve by the end of the current quarter (first 2 items in table). The remaining items will be completed beyond July 1. Importantly, given the anticipated CHI '26 submission deadline, these changes shouldn't affect our ability to make a submission (assuming there is time prioritized for completing the submission post-July 1).

Update: We've begun drafting and revising the introduction, background, and methods section. Still have headway we need to make on the draft of the results section, which we've aimed to complete this month.

Now that we've entered FY25-26, Claudia is tied up with other projects in Q1 limiting her availability to be involved. As such, I've reassigned the task to myself and noted the CHI deadlines in the task description which are now available.

Weekly update:

  • Revised timeline between now and CHI submission deadline
  • Coordinated with writing group on logistics
  • Completed basic outline in overleaf
  • Continued this week to dig through existing literature with the goal of solving the puzzle of how to best frame the paper
  • Discussed general logistics and some framing ideas with @leila, who will be joining as a contributing author (PI position)

Weekly update:

  • Received some framing ideas from Leila and attempted to integrate these in the drafting I worked on this week
  • Drafted abstract, introduction, background, methodology, and results section in overleaf
  • Shared overleaf link with co-authors and invited them to begin editing and contributing
  • Drafted an agenda for our coordination meeting next week
  • Created and shared a doc with co-authors that contains: relevant CHI guidelines and important links, drafting resources, timeline for key tasks and coordination over the next few weeks, and a summary of what reviewers will be looking for, including a checklist of items broken down by paper section that we can use to evaluate our progress and the current state of the draft at any time

Weekly update:

  • Solved access issue to make sure all co-authors can edit the overleaf draft
  • Organizational/formatting improvements made to overleaf project
  • Writing group (co-authors) met and discussed progress and plans
  • Current focus is on improving the results section; goal is to have results section stable by 22 August
  • Group continues to improve upon the draft; tentative check-in next Tuesday to discuss items for which synchronous discussion is most efficient
  • Updated a timeline we're using to coordinate efforts (mostly further breaking down goals between now and the CHI deadline)

Weekly update:

  • The writing group has been working on revising and getting the results section stable
  • Next week we anticipate continuing some work on the results section, and beginning revisions to other sections of the draft

  • We continue to make substantial edits to the results section to improve the draft. Thanks to everyone who's been contributing and spending time on this.
  • Given evolving results section draft, we may need some changes to the abstract early next week.
  • We're still aiming to meet the CHI abstract submission deadline coming up of 4 Sept. Intention is to submit on 3 Sept to provide a buffer against unexpected issues.

CHI paper has been successfully submitted by the 11 Sept full paper deadline for consideration and review. A special thanks to all co-authors for a tremendous amount of work and persistence over the last few weeks. Congratulations everyone. I appreciate the collaboration across the group to arrive a deeper understanding and clarity about the focus of communication (recruitment as the core focus) and working hard to have a good paper we sent out of the door.

@Easikingarmager I assume you have not resolved this task because the arxiv submission is not out, yet. Please update the deadline for the task if we need more than a couple of days to send it to arxiv. Once the arxiv submission is completed, please resolve this task. Thanks.

Updated the deadline to reflect the final steps and goal of getting this work onto arxiv.

We've continued working on some minor revisions, including improving consistency with references and workshopping some additional title options for the paper. As we're waiting on a bit of feedback about one section in the paper, I will delay uploading to arxiv until next week so that we can first integrate that feedback we're hoping to receive.

The group has finished with revisions that went beyond the initial CHI submission and help improve the paper further. The paper text is ready to be submitted to arxiv, but in order to complete this submission, there will be some non-trivial work involved in final file organization and troubleshooting of current errors in overleaf. If anyone in the writing group would like to help out with this, I would appreciate it, feel free to message me here or privately. Given timeliness and urgency of some other projects and tasks in the coming 2 weeks, I won't be able to work on this immediately. I'll update the due date to reflect a more realistic expectation of when I can work on these final submission steps.

Updates:

  • Compilation errors for the arxiv submission have all been resolved (thanks to @Isaac for his help!)
  • This week, we received a revise and resubmit (RoR) request from CHI reviewers, which is not a guarantee of acceptance but a good sign that reviewers perceive value in the paper (and we received lots of productive comments and feedback)
  • In light of the RoR, and request not to post to social media (directly or indirectly), we're reconsidering whether it makes sense to post the paper to arxiv given we don't want to interfere with the peer review process
  • We will update with a decision soon, but it may be that the best route may be to wait until early January to post to arxiv (at approximately which time final CHI submission decisions should be clear)

Weekly update:

  • This week we did a careful review of all the comments and revision requests from the CHI reviewers, itemizing a list of points that should be addressed
  • We began working on all of these line-by-line; we're at least around 50% or more done with making initial suggestions for what we can revise and how we can address reviewer comments
  • Next week the goal is to complete this process, and tackle various logistics around how we implement the changes in the current overleaf file structures in a way congruent with resubmission expectations
