@Lars if the opt in status will slow things down (as I'm not sure where button clean up work is at and I know sometimes there are contradictory statuses) please disregard that one for now, and we can add it down the line. Thanks!

Thanks for the extra info @Lars

@Damilare we noticed CID 39206274 isn't on the list you shared. Is it possible there are any others? As two donors reaching out indicates more than a dozen cases (we used to estimate one donor would reach out for every 50-100 live cases). Thanks for confirming!
I think we may need to do outreach to the donors too @MBeat33, otherwise they may follow up questioning the refund.

Hi folks! Just pinging to see if there is an update on this, as we're quiet right now and had hoped to do our piece before we get busy again, but we can't start ours until the fr-tech piece is done.
Jun 16 2026
Thank you, @Ejegg
Please also update copy from:
Please have the body of the email read:
Jun 15 2026
Yeah, I understand that @Damilare but I feel like a real donor will fill the information in or leave a message and it will just help us more easily decipher real from spam. I think let's try it and take it from there depending on volume.
Thanks for confirming @Damilare !
Adding to this, we also would like to request a copy change in the automated email that is deployed, as we are seeing a bunch of seemingly spam tickets reaching us with this SL, with no message in the body of the email.

This seems to have been closed but the subject line has not been updated - we had a ticket come into Zendesk today (https://wikimedia.zendesk.com/agent/tickets/1889735) with the same old subject line.
May 29 2026
This is great, thank you @Lars
May 15 2026
We do use the other apps, but could put this one at the top for sure as I feel it will get the most traction. So green light to reorder them @AStein-WMF

Yes, I would say so. If that is the workaround, then let's do it. As I think we're legally out of compliance if we're not sending donors the correct receipt, so we should block these. Thanks @jgleeson
As some of these come from email, adding @ppenloglou and @nisrael to this task.
@Lars we don't have a recurring receipt for endowment, so the donor doesn't actually get a confirmation that their gift is recurring. The receipt they receive states one-time. I feel we need to either block these or ensure we have a receipt with the correct information that will deploy in these cases.
The email is coded to ask one time for endowment and recurring for annual fund, or should be. Perhaps there was an issue with the coding, as it looks like they clicked through on the email link.
Apr 20 2026
I think just resend. it's fine not to have the preview, unless @SHust feels strongly about it. Thanks, Lars!
Apr 15 2026
Oh nice! Thank you - let me know when this is live :)
Interesting, thanks. But to confirm 'no bulk email' will perform the same way as https://civicrm.wikimedia.org/civicrm/a/#/email/unsubscribe, correct? Which is what we're using.
Sorry, understood that opting them out in Acoustic won't opt them out of Civimail; but if we sent them to 'no bulk email', will it opt them out of Civi mail? ie receipts, or recurring failure updates we sometimes have to send, etc.?
@Lars follow up question on that - if someone is down as 'no bulk emails (user opt out)' - does that exclude them from Civi mail? As that was our default before the unsubscribe link shared by Sandra was rolled out a couple of years ago. Do the behaviours differ ie do they track differently? I had assumed the end result was the same via both of those and the Acoustic link.
Apr 2 2026
Can I confirm we did filter out those who had already set up a new donation?
Apr 1 2026
Thanks, @Ejegg - Sandra has always led on this but is now out until Monday and ideally we would deploy these today.
@Ejegg / @AKanji-WMF - can we deploy this today? As we're now in April, donors will be entering the restart programme, and this email needs to go out before that, or we'll have to recut the list.
Mar 30 2026
@Lars do we have an update on this one? Ideally we would have this live ahead of Springlish, when we go back to fundraising in the US, a multi-channel market. Thanks!
This is the email copy document we used last time.

Thanks for the add @MSuijkerbuijk_WMF - I think this is a great change.
Feb 25 2026
However, I believe legacy is only for PayPal donations set up before we migrated to PayPal Express Checkout (paypal_ec) - I think they are just "paypal" in Civi. Would it be able to get a count for the legacy donations without the EC ones?
Is there any way to see volume of donors we have on Legacy still? As these are clearly loyal donors who have been giving for a long time, so we wouldn't want to risk losing their support; however, the current set up is not ideal for internal stakeholders. Getting a sense of volume would be helpful. Thanks!
Apologies for the false alarm - it turns out this is a known issue. That error appears if the donor created their recurring donation before we switched from a previous integration of PayPal called “Legacy” we are now on the the PayPal_ec aka Express Checkout integration.
Feb 18 2026
Thanks @Lars - I wasn't you to dive into this, or expecting you to dedupe these (we can handle that going forward!), just wanted to ensure you were aware we had populated this with some ideas. We'll keep adding!
Feb 17 2026
Could @AMJohnson and I get a test send too please? Thanks!
Feb 16 2026
@Lars Just flagging that we have around 15 examples of edge cases in the sheet for whenever you want to take a look. Thanks!

Jan 22 2026
Great, thank you @Lars !
Jan 15 2026
Thanks @jgleeson - once they have all gone out we could take a look at the failures and perhaps do some correcting of the email addresses that are incorrect and resend. We also have the autocorrector on the email addresses, so I'm surprised some of them weren't picked up, but perhaps they are ones we haven't come across before so there isn't a rule in place for them.
Jan 14 2026
Could I please get any test emails too, so I can see what donors will be seeing? Thanks!
Thanks @RKumar_WMF . Has this been cross-referenced with what we actually offer on the donation form for each country? As if not, that work likely should be done so donors are not running into this error.
Jan 13 2026
@Lars is this fixed? Are we safe to change donors from monthly to annual if they request it as a result of the annual receipt send, or are there any other blockers? Apologies if this has been shared on other threads, it's been busy and I've lost track.
I would vote to leave PayPal. I think we should only have actual unaccepted countries be blocked.
No idea, but it's on the dropdown country list so I would assume so and we have it listed as accepted in our internal doc. I thought all of the countries in the dropdown were confirmed as accepted.
Jan 12 2026
- Thanks @Lars - note that we're not currently updating any from monthly to annual yet, but yes, any one-time or annual recurring gifts should also be included in the summary for recurring donors, as well as endowment gifts.
Jan 9 2026
Per https://phabricator.wikimedia.org/T405619 do we have a version of this email for annual donations? And is the signature matching the new one for the first email ("Wikimedia Foundation Fundraising Team")?
Jan 8 2026
Can I ask for a status update on this one @AKanji-WMF as we have seen a LOT of donors request this in recent weeks. Thanks!
Jan 7 2026
Thanks @SHust - Please let's also ensure annual recurring donors are excluded from this send, as they get the receipt upon the donation processing each year.
Jan 5 2026
@AMJohnson let's discuss the signatory with @MSuijkerbuijk_WMF
I would say let's just publish and we can come back around on updating the signature. It feels like we need to get this live. Thanks! Green light from this end.
Dec 29 2025
@Cstone just flagging that this isn't fixed yet, correct, as ideally we'd be able to search all transactions via email at Braintree before we test this:
Dec 22 2025
Thanks for creating this @Cstone !
Dec 12 2025
@Lars RML donors should all have a name attached once they have completed a donation. If they are just leads (ie signed up and received the emails, but have yet to complete a donation) we likely only have email address on file for them. I can't see any results for that link you shared, but if you can find any RMLs who have donated and don't have a name, I'd be curious to see them.
Dec 11 2025
Thinking about this task and others one about contributions missing PII (https://phabricator.wikimedia.org/T411811 as a recent example), is there any way to make an alert in Civi if donations come in without basic info that every donation should have, like name, email, country, amount, currency?
Dec 9 2025
Thanks for that extra context @Lars .
Thanks @Lars - can you confirm what the source of the missing data is? I wasn't clear from your comment on 10th Nov - are donors actually also using this link potentially? Thanks for clarifying.
I think mid-late March feels realistic - generally we won't have the translations done before then. We first do the English-language messaging updates, generally in February once we're over the end of year hump, and then send the new versions for translation March onwards, but @SBorriello can likely confirm better than me, as he manages that process.

Everybody on the team has their own workflow, and we encourage folks to work in the most efficient way possible at scale (especially this time of year), and have never been told there is a preference to do it a certain way for permanent unsubscribing. Some people do just use the Civi link below. I personally use different workflows depending on the country and giving level.
@NNgu-WMF can countries update between sends during 6C? I remember we used to not be able to update language for 6C donors mid-campaign as the lists were already cut (see slack thread). Is that still the case, and does the same apply for country? ie. in this case - will the country change be reflected in email 4, or should we snooze them?
Nov 13 2025
Another one: https://wikimedia.zendesk.com/agent/tickets/1772581 / CID 19621344 - this donor clearly unsubscribed themselves, but it's not showing on their record in Civi.
Nov 11 2025
@Lars Does that mean any donor who has unsubscribed themselves using the link (not just now but historically) does not currently show as unsubscribed in Civi? Just to clarify and understand the potential scale of this.
Nov 10 2025
Ditto https://wikimedia.zendesk.com/agent/tickets/1769237 / CID 2289661, which was definitely unsubscribed on Wednesday. It doesn't show as such in Civi.
I think I have another one:
Nov 6 2025
Nov 3 2025
@Lars looping in @KHill-WMF as we have been discussing this logic for donor portal and want to ensure parity with there. I think Kevin has documented what we landed on in terms of logic for next transaction date.
Oct 29 2025
Hi @jgleeson - I wanted to flag that @EBrill-WMF shared there has been a notable spike in donors reporting this issue today after the UK fundraising email deployed. Are you seeing the same thing?
Oct 28 2025
No, the issue has always been RML and snooze. Donors who have been snoozed will receive RML if they sign up to receive them. Which sounds logical, but if they have already engaged and said 'not this year', they don't know that signing up means an automated 3-email campaign, starting 48 hours later. They believe they already told us 'not this year' so later means much later.
Oct 23 2025
Sure thing. Re-resolving this one then.
Is this related in any way @Cstone ? Just noting this other phab is also about native flow in the app and lack of ISO code: https://phabricator.wikimedia.org/T407856
Reopening this task and adding new folks (@Lars) as this issue is back again.
Oct 22 2025
Sounds good, ty!
Oct 20 2025
@Lars just flagging that if the button is only for email, we need to relabel the button, as donors would expect 'unsubscribe from everything' to be all channels (which would track into a 'do not contact' field in Civi).
Oct 16 2025
Nice job @jgleeson !!!
Oct 15 2025
@jgleeson This may be anecdotal, but @KHancock99 had a look at some of these and noticed that all of these donors donated successfully last year when we were via Adyen direct. Is it possible this is somehow Gravy related?
Oct 9 2025
Oct 8 2025
@MDemosWMF do you have information about the workflow, etc? I'm guessing given this extra prominence we'll start to see tickets and questions, or should we just send them to @RLewis as we currently do with DAF?
