Weekly update for the overarching task which includes work by others in the subtasks:

  • Music is secured. Thanks, Miriam.
  • 2 of the developer track sessions are finalized. Thanks, Evelin and Pablo.
  • PC member reviews are ongoing. Thanks, Francesca and Martin for tracking progress and pinging as needed.
  • registration is now open. team website and wiki workshop website are updated with this info.
  • we have decided to dedicate roughly 3 hours of the ~6.5 hours to research papers, in-line with last year's schedule.
  • Panel moderator is invited. Waiting to hear back.
  • Ideating on the format of the remaining time: town hall, short talk, video, etc. ongoing.

Weekly update for the overarching task:

  • 1 developer track organizer pulled out. Pablo and Evelin are on it to secure 3-4 organizers (1 done).
  • Reviews of the extended abstract submissions are on track with notifications set to go out on April 17th (on schedule)
  • discussions about the format and length of the presentations are in-progress. decision to be made about the length of the presentations as well as if folks will need to record ahead of time or not.
  • raising awareness about registration picked up. We have 80%+ increase in registration during the week and we're at 95 confirmed right now.
  • Panel: no update. plans for early next week after our potential moderator is back from vacation.
  • work started on having a video to celebrate the 10th edition. exploring with a potential contractor. We will know by next week's update much more. (still has a chance to not go through but there is enough excitement that we may make it work.)
  • WMF-RAY ceremony scheduling and coordination in-progress.

Weekly update for the overarching task:

  • 3 developer sessions are finalized.
  • notifications for extended abstracts are out. 58 accepted papers!
  • research session format and length finalized: 8 minutes presentation, followed by 4-min Q&A, plus a group discussion at the end of the session. presenters need to submit a recorded presentation ahead of time, but will be given the option to present live during their session (with some constraints).
  • form for authors to submit their camera-ready, recording, release form, schedule wishes, etc. was sent out.
  • Zoom license secured.
  • 134 confirmed registrations. work for raising awareness about the registration/workshop continued (at a slower pace due to competing priorities and limited resources.)
  • Panel: one invitation out.
  • work for scheduling the research tracks started.

Weekly update:

  • Developer track is in full-swing with a lot of activities including but not limited to inviting the researchers to the tracks as well as onboarding the track leads and helping them to prepare for their sessions.
  • Research track: short-list of session chairs, draft sessions/schedule, maintaining communications with authors w.r.t. the May 1st submission deadline.
  • Panel: moderator secured. Invitations for panelists continue to go out.
  • Award session: coordination continues on this front due to some schedule challenges.
  • Registrations: continued processing them. 170 confirmed (and counting).

Weekly update (from multiple sub-tasks):

  • Registration push. We're at 230 and counting.
  • Research track: schedule finalized and communicated to authors and participants. recruitment for chairs continues
  • Developer track: schedule finalized and communicated with leads and participants. recruitment of researchers in progress.
  • The start of the creation of the following documents: day_of, walk-through, session documents, etc.
  • Organizer coordination meeting held.
  • and more. ;)

Weekly update (from multiple sub-tasks): The major update for this week is that Wiki Workshop took place on May 11th. The first reaction and feedback from the audience throughout the event (including the town hall and the emails that followed) shows that overall the participants found the event valuable.

Thank you everyone for the collective work. A few more subtasks may be created to wrap up the work in the coming weeks, so expect some more updates here.

  • we finalized the feedback surveys for participants and presenters.
  • we sent out the feedback survey to presenters (9 responses in and counting).
  • processing of zoom recorded videos started.

  • Karen worked with ITS to have the Wiki Workshop videos on YouTube. They are now all wonderfully listed in here. Next steps will follow.
  • Karen sent out the workshop participants survey. We have 21 responses so far.
  • Karen is working on scheduling a retrospective.
