WMSE has long had a need for a more well-developed system for compiling contact information and the areas of interest for volunteers who want to get involved in the association's work.
With the implementation of the new CRM support for also using this for volunteer management will also be included. Since this is additional functionality added to the CRM we need to specify to the implementation partner what information we wish to be stored about:
- Their interests
- Their prior engagement
- Any training they have undergone
- Consent for being registered in the Volunteer register
We should also evaluate if the system can be used to track the estimated annual volunteer hours (reported to Giva) and to what extent historic data can be ingested into the system (from both a privacy and compatibility standpoint).
This task should also look inte the access need (for WMSE staff) to this information, how to limit this view (if a volunteer is also a member/donor), and to what extent a simplified process for adding new volunteers can be made available to additional staff members.
Finally this task (or a subtask) should evaluate the need for updating the Privacy Policy, as it relates to volunteers, and prepare communications to existing volunteers about the changes. As well as
