@Eileenmcnaughton oh yikes the cleaning fairy again!! I have been using this smartgroup - Wikimedia in Review Recipients (Smart Group) which Leanne created but I'm guessing if the group 306 was deleted then this explains why contacts I expected to be included weren't there.

@Eileenmcnaughton I think that seems right to me. I tend to do a lot of manual reviewing of donor records and documentation received with checks for these imports to relay back to MG officers and if I notice that we're overwriting a lot of data we really shouldn't be can we adjust the threshold at a later date if need be?

@MDemosWMF I think this is fine too, the Benevity one is separate fields. I'm not sure how the Bitcoin import works though, since the data in that import can be a little bit messy @LeanneS looping you in here too.

@MDemosWMF I think overwriting old data is fine as want the most recent Org Contact detail as agreed that's how we will get the most recent contact information.
@Eileenmcnaughton and @MDemosWMF thanks both just jumping in here, we do actually use the Org Contact Field for mailings, especially for the Year End Appeal and Annual Report Mailings for our Organizations where we the data in these fields and also for correspondence with a Foundation or other Organization. This was one of the main reasons for adding the fields in. As we often lost this information that was sent in letters with the checks included on the import.

@Eileenmcnaughton and @DStrine pinging on this phab task as I pulled the contacts for this smartgroup for an upcoming WiR email send and I noticed that the smartgroup didn't seem to be working correctly as recent donors who had donated $250 recently were not included in the search results for this smartgroup. I ended up having to manually add a few thousand contacts that hadn't been automatically added to the smartgroup. Is there any way to check on the criteria for this to see if its working well? And also it was extremely slow to return the search results again this time and did timeout a few times.

@DStrine and @MDemosWMF just a heads up that I tested this out for Donor Advised Funds. If you hand enter a contribution and check the "send receipt" box it will trigger a tax receipt email and also a donor advised thank you acknowledgement email (no tax info) if there is an email on the contact record. Therefore, we don't need to do this when hand entering donor advised funds, we just need to ensure that the No thank you reason field is blank when entering a gift and this will trigger the appropriate thank you email. Does this make sense? @MDemosWMF you can test this with the stock thank you email to double check but I think this is what is happening and explains why you received a double thank you email.

@Eileenmcnaughton FYI I imported a Benevity file this am and reported no error issues. I'll have another larger file to import next week and i'll add to this ticket if there's any issues.
@DStrine Arizona Lockbox and Merkle were the previous check processing companies, I think we stopped using them in 2015.

@Eileenmcnaughton I added the fields but they aren't showing in the drop down option when I search under Gift Source in Civi.
@DStrine we're going to go with adding two new gift sources in Civi - Retirement Gift - Endowment Specified and Realized PG Gift - Endowment Specified - these will ensure that those gifts where the Endowment is mentioned on the check/supporting documentation will have this gift source. I will add these .
@Eileenmcnaughton thanks so much for your clear response here. I will definitely try importing during my morning next time we get a large file and see if the issue is replicated. Also our internet here is absolutely awful, would that have any impact at all when I try to import versus you importing?

@Eileenmcnaughton can we take a look at how to do this in the next Civi fortnightly, I tried to replicate this for donor advised funds, $5000 and over since 01/01/2021 with thank you date = Null and didn't get any results?

@Eileenmcnaughton I went back and reimported the large files with the $680k worth of gifts and everything was imported so I think we're all set. But I'd like some tips on what I did wrong and how I can avoid these issues going forward.
@Eileenmcnaughton unfortunately not, these 20 were Orgs not already in Civi, so I created the new contacts and reimported. We're up to $691k for February 2021, but I had previously imported the international benevity files on 02/11/2021 and everything for the month should total around $760k. I've gone back and reimported all the international currency files to double check I haven't missed anything and I hadn't missed anything with these files.

@Eileenmcnaughton I'm not convinced that everything is imported though as the total for Feb in Civi is $623k but the wire amount and the file amount was $680k?

For the 2381 Ignored rows logged to file. - the message for all the rows in this file was IMPORT_CONTRIB Error limit reached
I can see this as the error message Import aborted due to 10 consecutive errors, last error was at row 1471: Duplicate error - existing contribution record(s) have a matching Transaction ID or Invoice ID. Contribution record ID(s) are: 57827712.
@Eileenmcnaughton I've just tried to upload a file for Benevity with 7000 row, totaling $680k worth of gifts and got this error message:
Actually it says the relationship hasn't saved when it has.
@Eileenmcnaughton good point about over writing good data. Will the data only add to new organizations that aren't already in Civi? That is good, it reduces the risk of over writing good data we already have in Civi.

I've managed to obtain search results now when searching this smartgroup but exporting the contacts into a list is extremely slow. I think the contacts in this smartgroup are only going to increase over time, will the increase in contacts to this group slow things down?

@Eileenmcnaughton I just imported the most recent Endowment weekly file, Contribution Type in the file was Endowment Gift. The file imported but when I checked the gifts in Civi, the Contribution Type was Engage.

@Eileenmcnaughton sorry for the confusion here. Engage had entered the Endowment gifts on the regular weekly import when they should have been on the Endowment specific import and so Melanie imported the file without me realizing they were on there. I then went in to update the financial type from Engage to Endowment Gift manually to ensure they didn't get mixed up with the regular checks. I should have a new file next week to import.

Just adding to this task, I'm reviewing some of the Endowment contributions coming in, in response to the Endowment Annual Appeal Email 1 send and I've noticed that the automatic Thank You Email is not reflected in the Activity section of their record like it does for non Endowment contributions, here are some CIDs:

@Eileenmcnaughton there are individual imports for a specific currency, PLN seems to be a new currency in which we've received matching gifts via Benevity. They would have all been imported.

Historically before the automatic dedupe was created, there was a large number of dupes for our check donors. There is still a large number of duplicates, I've created a group in. Civi called Check Donors Since 2011 which has 93336 contacts in it and it has around 45k dupes on the name and address rule.

@Ejegg I do use the import function to import our Engage files, Benevity files, Citibank donations etc. Is that what you mean? I don't regularly use the Import contributions function via Civi though

@Ejegg could this be a bug? I have no idea why I would have edited this record or changed the direct appeal for this contact. I've looked in the change log for this contact in Civi and the last change I can see is 08/29/2019 where he's been added to the TargetSmart group.
