@Eileenmcnaughton @MDemosWMF - I think the Trilogy import was used for email sends years ago and nobody on MGFE team uses this import so I think we're good to remove, but just to double check @JSimmons we don't use this for any events do we?
Jul 19 2023
@AKanji-WMF - i think it would be good to still increase this limit to tide us over as we head into appeal season.

@Eileenmcnaughton - all looks ok to me and the revenue looks like what it was in Civi for this DMA. Thank you!
@MDemosWMF - I can see the drop down option in Civi when searching.
May 22 2023
@AKanji-WMF I'm adding @MDemosWMF as well as she needs to add this DMA to gifts coming in still that need this DMA
May 11 2023
@Eileenmcnaughton - I actually have run into this issue, this week. I exported some Endowment gifts from Civi for a mailing and the Addressee and Postal fields are blank. Here's some CIDs
54887980
56756196
But there are up to 65 in my export that were blank. They might all be Financial type = Endowment Gift, not sure if that helps.

thanks @Dwisehaupt this works great.
@Dwisehaupt since its the Annual Report, its a different campaign so we'd want to track it differently, could https://fundraising.wikimedia.org/AnnualReport2122 work instead? With the URL I added in this task.
May 3 2023
@Eileenmcnaughton - let me take a look as it's been ages since I did an import. @MDemosWMF - do you know if this still happens? I think the DAF import might be a good import to check this for.
I think you can close this task.
May 2 2023
thanks Eileen, will do!
@Eileenmcnaughton yes, ty!
@Eileenmcnaughton - think we did a bit of this manually maybe
@Eileenmcnaughton - I think this is still happening, is it not? @JSimmons is this still an issue when updating Activities?
@Eileenmcnaughton thanks for the update, feel free to close
Nov 23 2022
@Eileenmcnaughton yes i managed to export a large file with the preferred language field with no error this time.
Oct 19 2022
@Eileenmcnaughton amazing, thanks for the update Eileen. This will save a lot of manual clean up for future major gift mailings.
Oct 18 2022
Oct 6 2022
@Ejegg - I think that sounds like a good plan, since Desiree has done a lot of manual clean up for our current major gift email campaign we wouldn't want to over ride the work she's done to ensure this field is filled. Would it make sense to do the script going forward for any new gifts that come in of $250+ and DAF related? Then we should be in better shape for future major gift email campaigns and little manual clean up would be needed on our end.
Oct 5 2022
@Ejegg thank you. I'm going do a bulk import for these Activities next week and we'll likely be searching using these new custom Activities in the following week, will this work ok?
@Ejegg thanks for looking into this, we don't need records backfilled. We only really need it for donors who fall within the major donor audience (donors who make a gift of $250+ or donor advised donors) which is probably around 30k donors. We have been updating the field when we see it is blank ourselves manually. The main reason we wanted to use the email greeting field over first name is because we have a higher number of Organizations who have been long time donors who we email and it doesn't feel right to address them as Dear Wikimedia Supporter. We also have a number of donors who donate as a couple and customizing this field allows us to address donors as a couple in our emails as well.

I think its the preferred language field that might be causing the issue for the export, but I need this field in the export.
@Jgreen hey Jeff,

@Cstone thanks, confirming this error is fixed.
@Dwisehaupt and @Eileenmcnaughton I wasn't sure who to bump this up to, but we're looking to automate more of the thank you letters we send in major gifts and since we have a lot of organizations that make large gifts, this needs to be fixed before we can do that. Is this an easy fix in the donor thank you template?

Thank you so much for the update and work on this @KHaggard and @Eileenmcnaughton
Apr 20 2022
I think we assumed the email_greeting was the field used for the salutation in the automatic email? That would likely be our preference but if not I think "Dear Friends of Organization Name" would be preferred?
@JSimmons - can you take a look at the imports Eileen has mentioned for Jerry as I think they might all be event related?
Apr 5 2022
Thanks David and yes @KHaggard is looped in on the task and the request.
Apr 4 2022
@Eileenmcnaughton - thanks that's good to know and will do.
Mar 31 2022
@Eileenmcnaughton - I using an export mapping that was already saved but added a few additional fields from the prospect tab, unless I somehow selected all fields but that wasn't my intention.
Mar 14 2022
@Ejegg thank you so much, I tested this and it works. I was getting myself confused on how to select the whole list and then unselect Endowment, so thank you for the tip.
Mar 11 2022
@Ejegg thanks, I think it would work but I'm having trouble trying to the Endowment financial type. I can select a bunch of different financial types but then I can't seem to exclude the Endowment financial type. Ideally I'd to have all other financial types excluding and have Endowment as the only one.

thanks @Ejegg when I tried to add in a new threshold level and save the configuration i then get this message

@Eileenmcnaughton thanks so much that worked!

@Eileenmcnaughton sorry to bump this again.

Sep 21 2021
@Eileenmcnaughton is this working now or is it due to go into a sprint? The reason I ask is because we usually setup a donation email bot for when the major gifts annual appeal goes out in October and it would be great to have this for that if possible.

@Eileenmcnaughton - yes!!! This is really helpful, thank you so much!
Jul 13 2021
@Eileenmcnaughton I think it's OK to send the automatic thank you email if an email is supplied. Thanks for double checking on this.
Jul 9 2021
@Eileenmcnaughton and @MDemosWMF thanks for checking on this, agreed with Melanie on the generic individuals. I think the generic org one was used similarly to the generic individuals but i don't use that one at all.
Jun 22 2021
@Dwisehaupt thank you, Amy and Jessica are on the case with approval and collab details.
@Dwisehaupt hi Dallas, just bumping this as Jessica is due to take part in Civi training today and it would be useful for her to have access to Civi for this training. Let me know if i can help with anything. Thanks.

@DStrine just a heads up that a few of us in MGFE have been talking about this function a few times over the past few weeks as online start to pull our contact lists for certain engagement email sends e.g. planned giving, events, WiR etc.
Jun 10 2021
@Eileenmcnaughton on the MGs side of things, we only rarely hand enter non-USD amounts, we might receive a few one off major donor checks in non-USD but these would be processed by Engage and handled in an import. We do however import non-USD amounts e.g. Benevity import and the international wires import.
May 25 2021
@Eileenmcnaughton thanks.
@Eileenmcnaughton initially I think we would only need this field to be for display purposes but I can see some uses for having this be a searchable field, especially for when we pull the donor list to be included on the Annual Report.
@Eileenmcnaughton this is great. To confirm when I need to provide the list for the next Wikimedia in Review email send, I just search for these groups in Advanced search. They are smart groups and so the number of contacts should increase as time goes on?
May 24 2021
@DStrine yep this is a good to close, thanks for checking.
May 21 2021
@Eileenmcnaughton I think it would be good if the Endowment and WLS have a separate field as different people are updating the three separate listings and also someone can be listed on the Endowment, WLS and Benefactor page but a different times.

@Eileenmcnaughton oh yikes the cleaning fairy again!! I have been using this smartgroup - Wikimedia in Review Recipients (Smart Group) which Leanne created but I'm guessing if the group 306 was deleted then this explains why contacts I expected to be included weren't there.
Apr 29 2021
Thanks @Eileenmcnaughton that makes sense.
@Eileenmcnaughton I think that seems right to me. I tend to do a lot of manual reviewing of donor records and documentation received with checks for these imports to relay back to MG officers and if I notice that we're overwriting a lot of data we really shouldn't be can we adjust the threshold at a later date if need be?
Apr 28 2021
@MDemosWMF I think this is fine too, the Benevity one is separate fields. I'm not sure how the Bitcoin import works though, since the data in that import can be a little bit messy @LeanneS looping you in here too.
@LeanneS and @MDemosWMF yes that would be a good threshold I think. I do tend to do a bit of reviewing for the $5k and over gifts that come in via Engage anyway but the $25k threshold sounds good.
Apr 27 2021
@MDemosWMF I think overwriting old data is fine as want the most recent Org Contact detail as agreed that's how we will get the most recent contact information.
@Eileenmcnaughton and @MDemosWMF thanks both just jumping in here, we do actually use the Org Contact Field for mailings, especially for the Year End Appeal and Annual Report Mailings for our Organizations where we the data in these fields and also for correspondence with a Foundation or other Organization. This was one of the main reasons for adding the fields in. As we often lost this information that was sent in letters with the checks included on the import.
Apr 21 2021
@Eileenmcnaughton and @DStrine pinging on this phab task as I pulled the contacts for this smartgroup for an upcoming WiR email send and I noticed that the smartgroup didn't seem to be working correctly as recent donors who had donated $250 recently were not included in the search results for this smartgroup. I ended up having to manually add a few thousand contacts that hadn't been automatically added to the smartgroup. Is there any way to check on the criteria for this to see if its working well? And also it was extremely slow to return the search results again this time and did timeout a few times.
Apr 15 2021
@DStrine and @MDemosWMF just a heads up that I tested this out for Donor Advised Funds. If you hand enter a contribution and check the "send receipt" box it will trigger a tax receipt email and also a donor advised thank you acknowledgement email (no tax info) if there is an email on the contact record. Therefore, we don't need to do this when hand entering donor advised funds, we just need to ensure that the No thank you reason field is blank when entering a gift and this will trigger the appropriate thank you email. Does this make sense? @MDemosWMF you can test this with the stock thank you email to double check but I think this is what is happening and explains why you received a double thank you email.
Apr 7 2021
@MDemosWMF - that's fine, thanks for letting me know.
Mar 31 2021
@Eileenmcnaughton FYI I imported a Benevity file this am and reported no error issues. I'll have another larger file to import next week and i'll add to this ticket if there's any issues.
@DStrine Arizona Lockbox and Merkle were the previous check processing companies, I think we stopped using them in 2015.
